Participant FAQs
If you have registered via our entry portal. You will automatically received an email receipt and confirmation upon registration. For some of our events there is an entry list published on the entry page and you can see your name here shortly after registering. If you enter and do not receive a confirmation, please check your spam folder.
Most events arrange for race numbers to be collected either at the event or shortly before. For events where race packs are dispatched to entrants these are normally posted around three weeks prior to race day and a minimum of 10 days before race day. If you enter 10 days (or less) before race day, your race pack will be available to collect on the day.
Due to most events incurring costs from the start of planning race entries are non refundable except in exceptional circumstances, or if race entry protection insurance has been taken out. However, most events do offer a deferral or transfer service. Please check the terms of entry when registering for an event and contact us if you wish to arrange a deferral or transfer.
If your event permits transfers, please email enquiries@sportsystems.co.uk and we can send a transfer form to complete. Depending on the terms of the event, there may be a small charge to arrange the transfer. It is important that you follow the transfer process as running under someone else’s name is strictly prohibited and can result in disqualification from the event and future editions.
If your event permits deferrals, please email enquiries@sportsystems.co.uk and we can defer your entry. You will normally be asked to contact us when the entries for the following year opens and we will send a code to register your deferral.
If you have lost your bib number, please head to the registration desk on the morning of the event and our team can reissue your number.
Your gun time is the time you have taken to complete the race from when the starting gun has been sounded. Your chip time is your accurate time from when you cross the start line to when you finish.
Signal permitting, results are posted live to our website at live.sportsystems.co.uk. Final results are posted on our website within 24 hours of the event on events.sportsystems.co.uk/results
In small cases, timing chips can fail due to system or user error, however, at all our events we have a range of back up systems in place. If your result is not listed, please email enquiries@sportsystems.co.uk with the name of your event, bib number and your estimated time and our team can investigate for you.
If your event is using our reusable shoe chip option, simply attach the timing chip to either of your trainers using the ties provided. There is an instructional image on the front of the envelope.
If the event is using our bib chip system, please attached your number clearly to the front of your vest and not on your back or legs. Please do not bend, fold or damage the chip. And DO NOT remove the chip from the rear of the number.
